Home care EVV for private-duty agencies

Updated September 28, 2026

Home care EVV (electronic visit verification) records when a caregiver starts and ends a private-duty visit, usually with time and location. PalmCare Agency includes EVV on PalmStaff for iPhone: clock-in, soft geofence warnings, attestation on clock-out, offline sync, and CSV export for the office. It is not a Medicaid claims aggregator.

What is home care EVV?

EVV proves the visit happened: scheduled client address, clock-in time and location, clock-out time and location with attestation, and an office view that catches fence misses before payroll. Fancy dashboards do not matter if punches are missing.

How the punch flow works

  1. 1

    Office publishes the shift

Schedule the visit with client address. PalmCare can geocode the home so the fence map and soft check have a pin.

  2. 2

    Caregiver clocks in on PalmStaff

iPhone punch with time and location. Late reason when needed. Soft warning if the phone is outside the fence meters.

  3. 3

    Docs and clock-out with attestation

Save ADLs and notes during the visit. Clock-out requires attestation. Early leave can carry a reason. Offline punches sync when the phone reconnects.

  4. 4

    Office exports and approves payroll

Timesheets and EVV CSV export for completed visits. Approve for payroll when punches look right.

What PalmCare EVV is (and is not)

It is visit verification for agencies running PalmCare scheduling: actual start and end, lat and lng on punches, soft geofence warnings, clock-out attestation, offline queue flush, and office export. Live coverage on the office map shows who is in visit.

It is not a promise to satisfy every state Medicaid aggregator feed out of the box. If your payer mandates a specific EVV vendor, keep that path. Use PalmCare for the private-duty shifts you schedule inside PalmCare.

FAQ

What is home care EVV?

Electronic visit verification (EVV) records when a caregiver starts and ends a visit, usually with time and location. Agencies use it for payroll, compliance, and proving the shift happened at the client home.

Does PalmCare offer EVV?

Yes on PalmCare Agency. Caregivers use the PalmStaff iOS app to clock in and out with location, a soft geofence warning when they punch outside the fence, and attestation before clock-out. The office can export punches as CSV.

Is PalmCare EVV a Medicaid aggregator replacement?

No. PalmCare EVV is built for private-duty and non-medical agencies that need reliable punches inside PalmCare scheduling. It is not positioned as a full state Medicaid EVV aggregator or claims submission product.

How does EVV relate to PalmCare documentation?

Documentation (care plan, billables, notes, contract) comes from the assessment recording on PalmCare Mobile or Office. EVV and scheduling sit on Agency for day-to-day shifts. Many offices use both jobs in one account.

How much does EVV cost with PalmCare?

Scheduler, iOS EVV (PalmStaff), and Customer Wallet are included on PalmCare Agency at $399.99/mo (or annual). Mobile and Office plans do not include EVV.
